Senior Executive Assistant

The Executive Assistant will provide high-level administrative support to the Chief Operating Officer (“COO”) and other leadership team members. The Executive Assistant also serves as a liaison to senior level external contacts, organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. 

 

Role Objective:

Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.

 

Key Responsibilities:

  • Support efficiencies in daily operations
    • Manage the complex and dynamic schedules of the COO and her leadership team
    • Triage incoming messages and assist with scheduling office meetings, events and travel
    • Proactive approach to problem solving - looking ahead for potential calendar conflicts, scheduling follow-ups, etc
    • Conserve the COO's time by reading, researching, collecting and analyzing information as needed, in advance 
  • Perform special projects
    • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization
    • Coordinate with corporate communications team to draft and prepare correspondence for important internal and external executive communications
    • Support operations team with additional duties as assigned, such as recruiting processes to ensure a smooth candidate experience
    • Complete ad hoc projects as assigned – including personal events and/or family needs
  • Partnership / Strong value system
    • Manage sensitive matters with a high level of confidentiality and discretion.
    • Represent the company and the executive team in a positive light through great follow-through skills and sound judgment.
    • Excellent communication and time management skills; proven ability to meet deadlines
    • Strong team player who derives satisfaction from helping others and going the extra mile 

 

Requirements

  • 7+ years minimum proven experience in an executive assistant role supporting C-Level executives
  • Exceptional organization skills and follow-through to completion on different tasks / projects
  • Able to multitask and effectively prioritize deadlines in a fast-paced, quickly changing environment
  • Excellent interpersonal, verbal, and written communications skills
  • Able to adapt quickly to individual work styles and preferences
  • In-depth understanding of Google and/or MS Office Suite
  • Must be available in-person
